Reagent expiry tracking: a practical guide and free template
Track expiry at the lot level, review it alongside usable stock, and give each exception an owner. An item total alone cannot tell you which box needs attention first.

The template is an organizational aid, not a validated inventory system or an approved laboratory procedure. Adapt it to your laboratory’s requirements before operational use.
Why one row per item is not enough
Consider an illustrative stock count: two kits from an older lot and eight from a new delivery. The item total is ten. If the spreadsheet keeps only the newest expiry, the older kits become easy to overlook. If it keeps only the earliest expiry, all ten can appear equally urgent.
Use separate rows for each lot and storage location. Keep the quantity and its unit next to the relevant date. Review stock that remains physically available, rather than treating a fully consumed lot as a current expiry problem.
What the tracker records
- Identity: item name, catalogue number, lot number and department.
- Location and quantity: storage unit, quantity on hand and a consistent unit.
- Dates: receipt, manufacturer expiry, opening or preparation date where relevant, and the applicable in-use limit verified from instructions.
- Disposition: review status, action owner, next review date and a reference to any supporting record.
The CSV does not calculate expiry, convert units, send alerts or preserve an audit trail. Enter dates consistently as YYYY-MM-DD. Keep manufacturer expiry and any verified in-use limit in separate fields; do not invent a stability period.
Run a review that ends in an action
- Reconcile a manageable shelf or reagent group against the tracker.
- Check the date and storage instructions that apply to each lot.
- Sort eligible stock by the applicable expiry limit to support first-expiring-first-out review, subject to your approved procedure and release status.
- Identify discrepancies, stock that is unsuitable for use, and quantities unlikely to be used in time.
- Assign follow-up and record the outcome. Use the laboratory’s approved process for quarantine, release or disposal.
Set the review frequency and warning window to suit your workload, supply lead times and approved procedures. A calendar reminder is useful only if someone owns the resulting work.
Keep evidence and operational decisions connected

Use this tracker for operational materials only. Keep patient identifiers and patient-linked traceability in the laboratory systems approved for that purpose.
When a spreadsheet starts to get in the way
Look for duplicate versions, inconsistent units, overwritten corrections and stock movements entered days after they happen. Those are useful questions for a software pilot. Moving the same inconsistent process into a new tool will not resolve it by itself.
